Pro team owners can send email and Discord alerts when the team calendar changes — new races, updates, cancellations, reminders, and published lineups.
Free teams still get the full Events tab: unlimited events, RSVPs, lineups, and in-app notifications for members who keep them enabled. Only outbound email, Discord, and ICS calendar subscribe require a Pro owner.
Requirements
| Feature | Requirement |
|---|---|
| Event email alerts | Team owner is Pro |
| Event Discord alerts | Team owner is Pro |
| In-app event notifications | All teams (member preference) |
| ICS calendar subscribe | Pro team owner |
A member's personal Pro status does not unlock event alerts — only the team owner's plan counts. See Plans & limits.
Setup
- Open Dashboard → Teams → [team] → Settings
- Scroll to Event alerts (or jump via
#team-event-emails) - Configure email and/or Discord as needed
- Click Save settings
If the team owner is on the free plan, this section shows a Pro upgrade prompt. Events, RSVPs, and lineups still work — only outbound alerts are locked.
Event email alerts
- Enable Enable event emails (master toggle)
- Choose which events send mail under Send emails for
When the master toggle is off, no team event emails are sent. In-app notifications still work for members who leave them on.
Event Discord alerts
- Enable Enable Discord notifications
- Paste an Event webhook URL — separate from lap record and session result webhooks
- Choose which events post under Post to Discord for
- Save, then use Send test to Discord to verify (uses saved settings)
Create the webhook in Discord: Channel settings → Integrations → Webhooks.
Alert types
Email and Discord support the same trigger types. Toggle each independently.
| Trigger | When it fires |
|---|---|
| New events | An owner/admin creates a scheduled event |
| Event updates | Title, type, start/end time, timezone, location/server link, track, or car class changes |
| Cancellations | Event is marked cancelled |
| 24h reminders | 24 hours before the event start time (only if that moment is still in the future when the event is created or updated) |
| 1h reminders | 1 hour before the event start time (only if that moment is still in the future when the event is created or updated) |
| Lineup published | Owner/admin publishes the driver lineup |
Update vs reschedule
- Field updates (title, track, server link, etc.) send an Event updates notification
- Changing start time sends an update and reschedules 24h/1h reminders (old pending reminders for that event are replaced)
Cancelled events
Cancellation notifications are sent immediately. Pending time-based reminders for that event are skipped.
Event types on the calendar
Alerts work for all team event types:
- Practice
- League Race
- Endurance Race
- Team Meeting
- Special Event
Delivery timing
Event alerts are not instant. MyLMU sends them in batches, so delivery can take up to about 10 minutes.
Expect up to ~10 minutes after:
- Creating or editing an event
- A reminder time being reached
- Publishing a lineup
The Settings UI shows this hint: Event alerts may take up to 10 minutes to be delivered.
Email vs Discord behavior
| Discord | ||
|---|---|---|
| Recipients | Each eligible team member | One post to the configured channel |
| Member opt-out | Yes — personal notification settings | No — visible to everyone in that Discord channel |
| RSVP filtering | Skips members who RSVP Not going; reminders only to Going/Tentative/no response | N/A — channel broadcast |
| Test button | Send test to my email | Send test to Discord |
| Delivery log | Recent deliveries in Settings | Delivery history in Settings |
Email recipient rules
Members receive event email only if:
- They have a confirmed email on their account
- Team event emails is enabled in Dashboard → Settings → Notifications
- They are not RSVP Not going (for reminders: Going, Tentative, or no RSVP)
The acting user (e.g. who created the event) may still receive notifications depending on type; in-app notifications exclude the actor.
Discord channel posts
Discord posts once per trigger to the webhook channel. Member notification preferences do not affect Discord — configure the channel visibility in Discord itself.
Discord message format
Event Discord messages use rich embeds with color by type:
| Alert | Embed color (typical) |
|---|---|
| New event / Update | Green |
| 24h reminder | Blue |
| 1h reminder | Purple |
| Lineup published | Gold |
| Cancelled | Red |
Common embed fields:
- When — formatted start time in event timezone
- Type — practice, league race, endurance, etc.
- Track — when set
- Details — event description (truncated)
- Server — location/server link (on create and 1h reminder for race types)
- RSVPs — summary: Going · Tentative · Not going · No response
- Lineup — car numbers and drivers (on lineup published, up to preview length)
The embed links to the event in Dashboard → Teams → Events.
Member notification preferences
Each member controls their own delivery in Dashboard → Settings → Notifications:
| Setting | Default | Affects |
|---|---|---|
| Team event emails | On | Event email only |
| Team event in-app | On | Notification bell |
RSVPs on the Events tab work regardless of these settings.
Email footers link to notification preferences so members can opt out without leaving the team.
In-app notifications (all teams)
Even without Pro, members can receive in-app notifications for:
- New events
- Event updates
- Cancellations
- Lineup published
Controlled by Team event in-app in personal settings. No plan gate.
Time-based reminders (24h/1h) are email and Discord only — not in-app bell notifications.
Test notifications
After saving settings:
- Send test to my email — sample event mail to your account email
- Send test to Discord — sample embed to the saved event webhook (requires Discord enabled + valid URL)
Test Discord only works with saved configuration, not unsaved form changes.
Calendar subscribe (related)
Pro owners can also generate an ICS subscribe link for the full team calendar in Google Calendar, Apple Calendar, or Outlook. This is configured in the same Settings area as event alerts.
See Subscribe to team calendar.
Troubleshooting
| Issue | Likely cause |
|---|---|
| Event alerts section locked | Team owner not Pro |
| No email received | Master toggle off; member disabled team event emails; RSVP Not going; unconfirmed email |
| No Discord post | Discord disabled; trigger toggle off; invalid webhook; delivery not processed yet (wait ~10 min) |
| Reminder missing | Event created too close to start (24h/1h not scheduled if already past); event cancelled |
| Test Discord disabled | Save settings first; enable Discord + webhook |
